Basic Function

West Coast Magnetics is seeking a highly organized and detail-oriented Account Representative Assistant to support our dynamic sales team. This role plays a vital part in ensuring excellent customer service and smooth sales operations, working closely with various departments and customers.

Responsibility

The Account Representative Assistant has the responsibility to:

  1. Maintain a positive and responsive attitude toward internal and external customer inquiries, stepping in when other sales staff are unavailable.
  2. Partner with Account Representatives to process customer quotes accurately and efficiently.
  3. Support the sales team by ensuring all information is up-to-date and accurate.
  4. Confirm customer orders, ensuring alignment with quote pricing, delivery terms, and other requirements.
  5. Generate sales and work orders based on confirmed customer purchase orders.
  6. Manage customer change orders and cancellations.
  7. Assist with maintaining accurate part data records.
  8. Organize and file closed purchase orders from the previous year.
  9. Collaborate with various departments to ensure we meet or exceed customer expectations.

Minimum Requirements

  • 2 Years office experience.
  • High School Diploma or GED equivalent.
  • Strong written and verbal communication skills
  • Proficiency in Excel and familiarity with the Microsoft Office suite, including Microsoft Teams.
  • ERP and CRM experience are a plus but not required.
  • Experience with Sage software is preferred.
  • Spanish language skills are a plus but not required.

Hourly Rate: $19.15 - $22.00
